A common challenge for managers reviewing grouped pipeline or activity data: the dashboard tells them a stage total but not which deals are in it, or a rep’s activity count but not which activities those are. Getting to the record detail means leaving the dashboard and opening the full report.

How to display Salesforce report groupings with full record detail

Step 1. Import the full grouped report using From Existing Report

Open Coefficient in Google Sheets or Excel and select Import from Salesforce. Choose From Existing Report and search for the grouped report you want to work with. Coefficient imports all detail records with their group associations intact, not just the group totals. Every individual record appears in the import with the group label it belongs to, giving you the complete dataset the dashboard component suppresses.

Step 2. Organise records by group using spreadsheet grouping features

Sort your imported data by the group field. Use Google Sheets’ row grouping feature or Excel’s outline grouping to create collapsible sections for each group value. Add a summary row at the top of each group using SUMIFS or COUNTIFS to show the group total. Team members can expand any group to see every individual record within it, or collapse all groups to see only the totals, a toggle that Salesforce dashboards cannot provide.

Step 3. Add record-level calculated columns within groups

For each detail record, add formula columns calculating metrics relevant to the group context: percentage of group total, rank within group, or days since last update. Use conditional formatting to highlight specific records within a group that meet a threshold, for example, deals within a stage that have been there longer than the average. These record-level calculations are not available in Salesforce dashboard components at any level.

Step 4. Set refresh schedule and enable Append New Data

Set a daily refresh in Coefficient to keep both group totals and detail records current. Enable Append New Data if you want new records that appear in the report to be added to the bottom of your import without overwriting existing rows, which is useful for audit trail use cases where you want a running history of what was in each group over time.
